Coach Builder Membership & Software Cancellation Policies

1. Coach Builder Membership Overview

Coach Builder provides certifications, memberships, software, trainings, and resources designed to help coaches grow and scale their coaching businesses (collectively, the “Services”).

 

Access to certain portions of the Services may require registration. You agree to provide accurate and complete information during registration and to keep your account information up to date.

 

2. Membership Cancellation Policy (Initial Enrollment)

If a cancellation request is made within 14 days of the initial purchase, a partial refund may be issued.

 

A non-refundable administrative and onboarding fee of $3,000 USD will be retained, and any remaining balance will be refunded to the original form of payment.

 

After 14 days from the date of purchase, no refunds will be issued.

 

3. Payment Plan Policy (Year One Commitment)

The Coach Builder Membership may be purchased through a 12-month payment plan, consisting of twelve (12) monthly payments beginning on the date of the initial payment.

 

By enrolling in the payment plan, you agree to the following:

• This is a 12-month financial commitment, not a month-to-month subscription

• You are responsible for completing all scheduled payments

• Early cancellation of participation does not waive your obligation to complete the full payment plan

 

You will have access to a payment dashboard where you may:

• Update your payment method

• Pay off your remaining balance early

• Resolve past-due payments

 

Please ensure you are fully committed before selecting a payment plan. If you have questions, contact us prior to enrolling.

 

4. Payment Failures and Late Fees

If a scheduled payment fails, the following process will apply:

 

First failed attempt:
You will be notified via email. No late fee will be applied. The system will retry payment after 72 hours.

 

Second failed attempt:
You will be notified via email and a $50 USD late fee will be added. The system will retry payment after 72 hours.

 

Third failed attempt:
You will be notified via email and an additional $50 USD late fee will be added (total $100 USD in late fees). The system will retry payment after 72 hours.

 

Fourth failed attempt:
Your membership will be suspended, and you will lose access to certifications, tools, and resources.

 

To regain access:

• You must pay the remaining balance in full

• A $1,500 USD reactivation fee will apply

• Accounts terminated due to failed payments may not be eligible for discounted re-entry.

 

5. One-Time Grace Exception

Coach Builder may, at its sole discretion, grant a one-time grace exception for past-due payments.

 

If granted:

• Late fees may be waived or a payment deadline extended

• All future payments must be made on time

• Any subsequent failed payments will be subject to the standard late fee and enforcement policies.

 

6. Membership Renewal Policy

Memberships may renew automatically based on your original enrollment date (“Renewal Payment Date”).

 

Coach Builder reserves the right to adjust pricing for future renewal terms. Any changes will be communicated in advance and will apply only to subsequent billing cycles.

 

Cancellation During Renewal Period

If you cancel your membership renewal:

 

Within the first 30 days after the Renewal Payment Date:

You will be responsible for a fee equal to one month of the renewal term, not to exceed $450 USD (“First Month Renewal Cancellation Fee”)

 

This fee covers administrative costs and access to membership resources during that period

 

After the first 30 days:

• No refunds will be issued

• You remain responsible for the full renewal amount

• Any eligible refunds will be issued to the original form of payment.

 

7. Reactivation Policy

If you voluntarily exit the membership in good standing, you may be eligible to return at a discounted rate within 24 months of your exit date.

 

Discounted re-entry is not available to members whose accounts were terminated due to failed payments.

 

8. Add-On Certifications Refund Policy

If a refund is requested for any Coach Builder Membership add-on certification within 14 days of purchase, a refund will be issued in the form of a credit that may be applied toward a future membership renewal.

 

This credit expires if you are no longer an active member.

 

9. Coach Builder Software Subscription

When you subscribe to the Coach Builder Software (“Subscription”), you gain access to the platform, including its tools, content, and features. Each Subscription is intended for a single user.

 

Your Subscription begins on the date of purchase and will automatically renew at the end of each billing cycle (monthly or annually, depending on your selected plan) unless canceled as outlined below.

 

10. Software Cancellation

You may cancel your Subscription at any time through your account settings within the platform or by contacting us at hello@coachbuilder.com.

 

• Cancellations take effect at the end of the current billing cycle.

• To avoid renewal charges, you must cancel at least 24 hours prior to your next billing date.

• You will retain access to the platform until the end of your billing period.

• After the billing period ends, your access will be terminated.

 

11. Software Refund Policy

All Subscription fees are non-refundable.

 

No refunds or credits will be provided for:

• Partial billing periods

• Unused time

• Failure to cancel prior to renewal

 

12. Account Suspension and Termination

Coach Builder reserves the right to suspend or terminate your account at any time, without notice, if you violate these Terms or use the Services in a manner that is unlawful, abusive, or inconsistent with intended use.

 

Termination does not relieve you of any outstanding payment obligations and does not entitle you to a refund.

 

13. Data Retention and Deletion

Upon cancellation or termination of your Subscription, Coach Builder may retain your account data for up to 30 days, after which it may be permanently deleted.

 

It is your responsibility to export or retain any data you wish to keep prior to termination.
