Note: An active subscription is required to use the Zoom integration.

How to Connect Your Zoom Account

  1. Go to the Integrations page.
  2. Locate the Zoom integration and click Connect.
  3. You will be redirected to Zoom. Review the permissions and click Allow to authorize Coach Builder.
  4. After authorization, you will be redirected back to Coach Builder. Your Zoom account is now connected.

How to Disconnect Your Zoom Account

  1. Go to the Integrations page.
  2. Locate the Zoom integration.
  3. Click Disconnect to revoke Coach Builder’s access to your Zoom account.

How to Attach a Zoom Meeting to a Calendar Event

  1. Open your Calendar.
  2. Hover over a day and click to add a new appointment, or select an existing event.
  3. Enter a title and set the start time for your appointment.
  4. In the event modal, locate “Create Zoom Meeting” on the left side.
  5. click Yes to create a Zoom meeting once you have confirmed the appointment details.
  6. Click Save to attach the meeting.
  7. Click Confirm in the bottom-right corner of the modal to save the appointment.

The Zoom meeting link will now be visible on your calendar event.

How to Attach a Coaching Session to a Calendar Event

  1. Open your Calendar and select an existing event or create a new one.
  2. In the event modal, locate “No Session Attached”.
  3. Click the plus (+) icon to open the session selector.
  4. Search for the coaching session by name.
  5. Select the session you want to attach and click Save.
  6. Click Confirm in the bottom-right corner of the modal to finalize.

How to Automatically Import Meeting Transcripts to Coaching Sessions

Requirements: For automatic transcript import to work, all three of the following must be true:

  • A Zoom meeting is attached to the calendar event
  • A coaching session is attached to the same calendar event
  • Cloud recording is enabled for the Zoom meeting

Step 1: Set Up the Session

  1. Go to Clients and select your client.
  2. Click Sessions in the top navigation.
  3. Click Create New Session, then + Single Session.
  4. Complete the session setup questions.
  5. Click All Sessions and enable client access for the new session.

Step 2: Create the Calendar Event

  1. Go to your Calendar and create a new appointment.
  2. Attach a Zoom meeting (see instructions above).
  3. Attach the coaching session you created (see instructions above).
  4. Click Confirm to save the appointment.

Step 3: Conduct the Meeting

  1. Start the Zoom meeting from your calendar event.
  2. Enable cloud recording before or during the meeting.
  3. Conduct your coaching session.
  4. End the meeting when finished.

Step 4: Import the Transcript

  1. Go to Clients, select your client, and click Sessions.
  2. Update the session status from Upcoming to Completed.
  3. Click into the session and select After Session.
  4. You will see a transcript processing notification. Zoom typically takes about the length of the meeting to process recordings.
  5. Once the transcript is ready, the Import Zoom Transcript button will appear.
  6. Click the button to import the transcript into your session notes.
